Observations may be recorded in one of several ways. They can be written on sticky notes attached to a KPA/PA wall chart or, more efficiently, written as additions to electronic KPA/PA worksheets. Electronic worksheets for managing the observations are generated from team members’ notes; Excel spreadsheets or Word tables are very effective (see Worksheet Example for Project Planning). Electronic KPA/PA worksheets are recommended because of their flexibility (they also provide a complete record of the data). Team members’ work is made visible to each other when a projector is used in conjunction with the electronic worksheets, and information is displayed on a screen. This offers a time advantage when seeking team consensus. However, laptop computers are needed at least for each mini-team. For some organizations, this is not possible, so the manual method of wall charts is used. The Lead Assessor and the team members will choose the system that will be used (based on what is most appropriate for the organization) and will practice using the system during team training.
